When a trip ends, TourRelay compiles a Tour rating that reflects how the trip actually went β not how it was planned. There is nothing extra to fill in.
This tutorial shows you where to find the rating, how to read it, and how to use it to improve the next trip.
Where to find it
The Tour rating is unlocked only on completed trips β once today's date (in the trip timezone) is past the end date, or the trip has been locked.
Open the completed trip
From the dashboard, open the trip. A completed-trip notice appears at the top of the overview.
Click View rating β
The link appears next to the completed-trip notice. (If you do not see it, the trip is not yet completed or locked.)
Read the rating
The page shows the overall percentage with a coloured donut chart, a per-item breakdown table, and the list of incident reports.
The rating is for managers and back-office staff. Agents do not get a rating view β it is an internal review tool for the agency. A manager can share a read-only copy via a public report link or a WhatsApp blast (see below).
How to read the rating
The Tour rating is a quick, at-a-glance feel for how the trip went β a diagnostic sense-check, not a grade or an audit. The overall percentage sits in the centre of the donut, with three dimensions around it:
| Dimension | Colour | What it captures |
|---|---|---|
| Timeliness | Blue | Whether the tour ran on time or slipped behind schedule. |
| Fullfilness | Green | How fully the agent captured what actually happened. |
| Calmness | Amber | How smoothly the trip went, beyond the plan. |
Hover the info icon (β) next to any dimension in the legend for a one-line reminder of what it captures.
The colours are fixed per dimension (blue / green / amber) β they are identities, not severity signals. There is no letter grade, no pass/fail threshold, no red-for-bad. A weaker dimension simply shows a lower percentage in the same colour.
The rating is a feel, not a formula. It's meant to prompt the right questions, not to rank trips or agents. Two trips with the same percentage can mean very different things β always read it alongside the breakdown below.
The per-item breakdown
Below the chart, the Itinerary breakdown table shows every item with:
- Itinerary β title, day, and location.
- Time β
scheduled β actual(orβif neither was recorded). - Details β pills for the photo count and update count.
Expand any row to see the itinerary photos grid and the full list of updates linked to that item β author, timestamp, body, and photos. This is where you can see, item by item, exactly what the agent captured on the day.
The incident reports section
At the bottom, the Incident reports section lists every report filed during the trip β title, date and time, location, "Filed by author", the full description, and clickable photo thumbnails. A count line shows how many were filed, and the amber badge shows the Calmness deduction.
If no incidents were filed, the section reads "No incidents were reported during this trip."
Use the rating to improve the next trip
The rating is a diagnostic, not a gradebook. Three patterns to look for:
- Low Timeliness, scattered across items β schedules may be too optimistic. Pad transfer times or move pickups earlier on the next trip.
- Low Fullfilness on specific items β the agent may have skipped those slots. Coach them to capture every item, or set a clearer expectation before the next departure.
- Low Calmness β review each incident report for a recurring root cause (a flaky transport vendor, a miscommunicated meeting point) and fix the operational issue, not just the score.
Share the rating
A manager can share a completed trip's rating two ways from the rating page:
- Create report link mints a read-only public URL (
/r/<token>) that anyone can open without signing in β the overall rating, chart, per-item breakdown, and incident reports. Copy report link to share it; Rotate link or Revoke link to invalidate it. - Share rating sends the tour rating to every traveller on the trip via WhatsApp (when WhatsApp is set up).
